Start with the customer invoice and its current balance
This is an accounts-receivable workflow: following up invoices your business has issued to customers. Supplier-invoice review is a separate process. Choose the accounting or billing system that owns the invoice, then identify which payment records, credit notes and customer conversations can change the next action.
Keep a stable invoice reference, customer and billing-contact reference, currency, due date, current balance and last successful check. Link actual payment and credit records instead of copying an old total into the CRM and treating it as permanently current. One customer can have several invoices; settling one must not close the others.
The proposed B2B design below uses fictional records and official product documentation checked on October 19, 2026. It is a workflow to scope and test, not a customer result or a claim that every accounting tool has the required integration. It prepares reminders and employee tasks; it does not authorize charges, refunds, new fees or changes to commercial terms.
Check what your billing system already sends
QuickBooks Online documents automatic reminders before or after an invoice due date. Its guide says reminders apply to matching unpaid invoices that have already been emailed. Stripe also documents configurable unpaid-invoice emails, including recurring-invoice reminder settings and separate guidance for one-time invoices. Check the exact invoice type, account settings and supported controls in the selected product.
Inventory these native senders before adding a CRM sequence or external email service. Assign one owner to each reminder. Otherwise, an employee may pause a CRM task while the accounting platform continues its own schedule. A custom integration is worthwhile when it connects missing billing context and decisions, rather than simply adding another email timer.
Ask the implementer to demonstrate how a disputed invoice is held in every tool that can send its reminders. If a native sender cannot honor the required invoice-specific hold, change the sending arrangement before enabling the combined workflow. Do not assume that a CRM flag controls another platform’s emails.
Treat a partial payment and a credit as different records
Stripe’s partial-payment documentation describes updating the invoice’s amount paid and amount remaining after a successful payment, with paid status reached when fully paid. It also documents configuration limits: partial payments are not generally supported for automatically charged subscription invoices outside the stated private preview. Verify your invoice configuration instead of promising the same behavior for every subscription.
A credit note is different from cash received. Stripe’s credit-note guide explains that a credit can reduce an open invoice’s balance to zero and change its status to paid without recording a payment. A zero balance can therefore stop a reminder while still needing a different explanation in the revenue report.
Use the billing system’s current balance and the underlying records together. Do not subtract a credit twice because it appears in both an event and a refreshed invoice. A customer saying they sent a transfer is also different from a confirmed payment matched to this invoice. Keep the statement and its evidence available for reconciliation.
Agree which conditions allow a reminder
The following are proposed operating rules to agree with the billing owner. They are not claims that QuickBooks or Stripe automatically provides every hold, task or cross-system check. The implementation must demonstrate the selected records and sending controls.
- Open balance, current records and no hold: prepare the approved reminder for the correct invoice, billing recipient and amount. Release it only under the business’s agreed sending policy.
- Partially paid: use the confirmed remaining balance and show the payment reference. Do not ask for the original total again.
- Zero balance or invoice canceled: stop the affected reminder and retain the reason. Record whether the balance was settled by payment, credit or another authorized adjustment.
- Customer disputes a charge or says payment was sent: hold automatic chasing for that invoice and assign the review. Do not silently approve a credit or mark the invoice paid.
- Employee takeover or changed payment arrangement: retain the hold and exact decision needed. A promised payment date is not payment, and an expired timer does not release employee review.
- Billing connection unavailable or records disagree: leave the balance uncertain, pause affected sends and name the person resolving it. An empty lookup is not evidence that the customer owes nothing.
Give the billing employee a complete decision record
Imagine Sample Services issued fictional invoice AR-624 for USD 1,200. A confirmed USD 400 payment and an issued USD 200 credit leave USD 600 outstanding. The customer then questions another USD 200 line. The recorded balance is still USD 600 until an authorized adjustment is made; the dispute is a reason for review, not an automatic reduction.
A useful employee record would look like this. These are illustrative values and proposed outputs, not a built-in screen or evidence of a payment Monchera collected.
- Invoice: AR-624; customer account and original invoice linked; currency USD. Owner: Avery, billing coordinator.
- Balance evidence: original USD 1,200; payment PAY-SAMPLE-18, USD 400; credit CN-SAMPLE-07, USD 200; current remaining balance USD 600. Show the last verified accounting state and its check time.
- Customer issue: questions a separate USD 200 line. Attach the actual source message and line reference. No additional credit issued; no collection decision inferred.
- Reminder status: held for billing review in the designated sender. Show whether suppression is confirmed or still unresolved in any other sender.
- Next action: Avery checks the disputed line and responds through the approved channel. Record the decision and any accounting adjustment before preparing a new reminder.
Recheck the invoice before releasing the message
After the issue is resolved, prepare a reminder from the current invoice, not the record that originally entered the queue. If the remaining USD 600 is confirmed and the employee releases the hold, a sample draft is: “Our records show USD 600 remains on invoice AR-624 after your payment and credit. Please use the invoice’s payment page, or reply if your billing records differ.” This is example copy, not a delivered message.
Use the actual approved payment-page reference from the billing system. Verify the recipient and avoid copying financial details to guessed contacts. AI can summarize the billing conversation or draft a neutral response; the ledger, employee decision and approved terms determine the amount and whether the message can leave.
Stripe documents that webhook notifications can arrive more than once and out of order. It recommends tracking event identifiers for duplicate handling and retrieving missing objects where needed. For this proposed workflow, a late overdue notification must not reopen reminders after a newer verified payment or hold. Reconcile current invoice state before dispatch.
A payment or hold can arrive after a sender accepts a reminder. Keep the actual sending result and avoid claiming that an already dispatched email was recalled. If a send result is uncertain, inspect the existing message record before retrying; another send can create a duplicate chase.
Test the billing changes that alter the next message
Use fictional invoices before an approved limited rollout. The acceptance checks should inspect the billing system, designated sender and employee task together. These are checks to run, not completed test results.
- Record a partial payment before reminder release: the draft uses only the verified balance and preserves its invoice identity.
- Issue a credit that clears the remaining balance: the reminder stops, while reporting distinguishes the credit from cash received.
- Receive a customer dispute or claimed transfer: the invoice is held and assigned without a fabricated payment, credit or fee.
- Deliver an overdue event late or twice: it does not create another reminder or override the current hold.
- Pay one of two customer invoices: only the matching invoice changes; the other keeps its own balance and decisions.
- Disconnect accounting or leave one native reminder sender active: the workflow exposes the unresolved dependency instead of falsely showing all reminders stopped.
Measure correct follow-up, not just emails sent
Agree who resolves unmatched transfers, disputed lines, failed sends and expired connections after launch. Include reminder settings and recipient changes in maintenance. Review a sample of reminders against the invoice state and employee decisions that existed when each message was released.
Track incorrect-balance reminders, messages sent during confirmed holds, duplicate sends, unresolved billing cases and employee correction work. Track cash receipts separately from credits and other adjustments. Any claim of faster payment or recovered revenue needs a consistent baseline and actual records; a reminder count does not establish either.
Monchera can scope the billing checks, employee handoff and connected reminder controls around your existing systems. Bring one unpaid customer invoice, a partial-payment example and a disputed bill. The first useful deliverable is a current balance, a clear sending decision and an accountable person for the exceptions.
